1. Agreement to these terms
By using this website, submitting an application, or attending a Zenith Youth Summit event, you agree to these Terms of Participation and to our Privacy Policy. If you do not agree, please do not use the site or apply.
If you are under 18, your parent or legal guardian must read and accept these terms on your behalf. By submitting an application as a minor, you confirm that they have done so.
2. Who you are contracting with
An honest statement of our status
Zenith Youth Summit is a student-led initiative operating under the Zafirenzo umbrella, based in Raipur, Chhattisgarh, India. Neither Zenith Youth Summit nor Zafirenzo is a registered company, society, trust, LLP, or other incorporated body.
This matters to you, so we are saying it clearly rather than hiding it: because there is no incorporated entity, there is no corporate balance sheet standing behind these commitments. Any agreement you make is with the individual organisers of Zenith Youth Summit personally. We are a student initiative doing our best to run something excellent; you should weigh that when deciding how much to rely on us, and particularly before paying any fee.
3. Eligibility and minors
Our programmes are open to school and university students and to young people in comparable stages of study or work. Specific eligibility criteria for each track are stated on the relevant application page.
Applicants under 18 must provide a parent or legal guardian's name, email address, and phone number, and we must have that guardian's consent before the applicant participates. We may contact the guardian to verify. We may decline or withdraw a place where guardian consent cannot be verified.
4. Your account
Access to applications requires signing in with Google. You agree to use your own Google account, to provide accurate information, and not to impersonate anyone. You are responsible for activity carried out through your account. Tell us promptly at Zenithyouthsummit@gmail.com if you believe it has been misused.
5. Applications and selection
- Submitting an application does not create any entitlement to a place. All selection is discretionary.
- Selection is merit-based against the criteria published for that track. For Zenith: Foundry, selection is on demonstrated agency rather than credentials, assessed through the three published prompts.
- Capacity is finite. A strong application may still be unsuccessful because a cohort is full or because we are balancing disciplines.
- We may ask for clarification or additional evidence, and may withdraw an offer if information you gave turns out to be false or materially misleading.
- We do not undertake to give individual feedback on unsuccessful applications.
- One application per person per track. Duplicate applications may be rejected.
6. Content you submit
You keep ownership of everything you write, upload, or create — your application answers, your proof of work, and anything you build at an event. We claim no ownership of it.
You grant us a limited, non-exclusive, royalty-free licence to store and reproduce your submitted content strictly for the purpose of assessing your application and running the programme. Any wider use — publication, promotion, inclusion in an archive — happens only within the archive tier you selected, and you can change that tier at any time.
You confirm that content you submit:
- is yours, or that you have permission to share it;
- does not infringe anyone's intellectual property or privacy;
- is not unlawful, defamatory, obscene, harassing, hateful, or malicious; and
- contains no malware and no attempt to compromise our systems.
We may remove content that breaches these terms and, where appropriate, withdraw the associated application.
7. Fees, payment, and refunds
Fees differ by track and are stated on the relevant application page at the time you apply. Applying is free; fees fall due only where stated.
| Track | When payable |
|---|---|
| Zenith: Foundry | A seat commitment fee is payable only after you are accepted. It exists to prevent casual no-shows and covers part of the cost of your seat; the remainder is carried by Zenith and its partners. |
| Delegate registration (Model UN chapters) | The registration fee and any early-bird terms are shown on the registration form and in the payment terms published there. |
| OC, CA, and EB tracks | No application fee. |
Refunds — read before you pay
Fees are, as a general rule, non-refundable once paid, because they are committed to venue, catering, and production costs well before the event. The specific payment terms shown on the form at the time you pay are the operative terms for that payment.
There are two exceptions we do commit to:
- If we cancel an event outright and do not run a replacement, we will refund the fee.
- If a payment fails, is duplicated, or is charged in error, we will refund the excess.
Refund requests should be sent to Zenithyouthsummit@gmail.com within 30 days of the triggering event. Nothing here removes any non-excludable right you have under the Consumer Protection Act, 2019.
Payments are made through the channel indicated on the form. We do not collect or store card numbers, UPI PINs, or bank credentials — you upload only evidence of payment. Never send payment details to anyone claiming to represent Zenith through any channel other than those published on this site.
8. Acceptable use of this website
You agree not to:
- attempt to access accounts, records, or files that are not yours, or probe, scan, or test the security of the site;
- interfere with the site's operation, including by automated scraping, denial-of-service, or flooding our forms;
- submit false, forged, or impersonated information, or upload documents belonging to someone else;
- use the site to send unsolicited messages, or to attempt to have our systems send messages to people who did not request them;
- reverse engineer, decompile, or attempt to extract source code except where the law permits it; or
- use the site for any unlawful purpose.
We log and investigate suspected abuse, and may suspend access or report serious matters to the appropriate authorities.
9. Conduct at our events
Zenith runs rooms built on substance and mutual respect. Participants, organisers, and guests are expected to:
- treat everyone with courtesy, regardless of background or view;
- debate ideas rigorously without personal attacks, harassment, or intimidation;
- do their own work, and not plagiarise, fabricate research, or misuse AI tools to misrepresent authorship;
- follow venue rules, the instructions of organisers, and applicable law;
- refrain from alcohol, drugs, and any prohibited substance at our events; and
- respect the property of the venue and other participants.
Harassment, discrimination, bullying, sexual misconduct, and threats of violence result in immediate removal without refund, and may be reported to the participant's institution, guardian, and the authorities.
10. Safeguarding and safety
Where minors attend, we take reasonable safeguarding measures, including obtaining guardian consent, holding emergency contact details, and supervising the event. Guardians remain responsible for their child's travel to and from the venue unless we have expressly agreed otherwise in writing.
Departure arrangements
Zenith: Foundry runs into the evening and closes with music, so departure needs to be arranged before the day, not decided at the end of it. Every participant must tell us at check-in how they are getting home and who is collecting them.
Participants under 18 will only be released to the parent or legal guardian named on their application, or to an adult that guardian has authorised with us in writing beforehand. We will not let a minor leave the venue unaccompanied at closing, and we will hold them with a member of the Secretariat until someone authorised arrives. If your arrangement changes on the day, tell an organiser — do not arrange it with your child directly and assume we know.
Participants over 18 leave on their own arrangements. We are not responsible for onward travel, and we do not provide transport.
You must tell us in advance of any medical condition, allergy, or accessibility requirement that we need to know to keep you safe. We will use that information only for that purpose. In a medical emergency, you consent to us seeking appropriate medical assistance.
Participants remain responsible for their own belongings. We are not responsible for property lost or damaged at a venue.
11. Photography, recording, and archives
We may photograph or record our events for documentation and promotion. We will make this known at the venue. If you do not wish to be photographed, tell an organiser and we will accommodate you.
For Zenith: Foundry, publication is governed by the archive tier you chose when applying, which you may change at any time by emailing us. For participants under 18, the most protective tier applies by default and images are published only with specific guardian consent. Full detail is in section 16 of the Privacy Policy.
12. Intellectual property
The Zenith Youth Summit name, the Zenith: Foundry name, our logos, and the design, text, and structure of this website belong to us or our licensors. You may not copy, adapt, or reuse them for your own programmes or commercial purposes without written permission.
Formats and materials we publish — including the Universal Blueprint Board and our application protocols — are ours. You are welcome to be inspired; you may not reproduce them as your own event.
Work you create at an event remains yours, jointly with your teammates where it was built collaboratively.
13. Changes, postponement, cancellation
Details including dates, venue, schedule, committees, agendas, speakers, and cohort size may change. Some dates are deliberately not published until participants are selected. We will tell registered participants of material changes by email as early as we can.
We may postpone or cancel an event for reasons including insufficient registrations, venue failure, illness, or circumstances beyond our reasonable control. In that case section 7 governs refunds. We are not responsible for travel or accommodation you booked independently, so please consider that before making non-refundable arrangements.
14. Disclaimers
The website is provided on an “as is” and “as available” basis. We do not warrant that it will be uninterrupted, error-free, or free of harmful components, though we work to keep it secure and available.
Participation in our programmes confers no academic credit, qualification, employment, internship, or admission advantage. Any certificate we issue records participation and nothing more. Statements about outcomes, networks, or recognition are descriptions of what we aim to create, not guarantees.
Views expressed by participants, speakers, or judges are their own and not ours.
15. Limitation of liability
To the maximum extent permitted by law, and subject to the paragraph below:
- we are not liable for indirect, incidental, special, or consequential loss, or for loss of opportunity, data, or reputation; and
- our total aggregate liability to you in connection with these terms or any event is limited to the amount you actually paid us in respect of that event.
What we do not limit
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, for breach of any safeguarding duty owed to a minor, or for anything else that cannot lawfully be excluded under Indian law. Where any limitation above is held unenforceable, it applies only to the extent the law allows and the rest stands.
16. Indemnity
You agree to indemnify us against claims, losses, and reasonable costs arising from your breach of these terms, your infringement of a third party's rights, or your unlawful conduct at an event. This does not apply to the extent the claim arises from our own negligence or breach, and for participants under 18 it is given by the parent or guardian who accepted these terms.
17. Suspension and termination
We may suspend or terminate your access to the site, withdraw an application, or remove you from an event if you breach these terms, provide false information, or behave in a way that endangers or seriously disrupts others. Where circumstances allow, we will tell you why and give you an opportunity to respond. Removal for serious misconduct does not attract a refund.
You may stop using the site and withdraw an application at any time.
18. Privacy
Our handling of personal data is governed by the Privacy Policy, which forms part of these terms and sets out your rights under the Digital Personal Data Protection Act, 2023, including how to reach our Grievance Officer.
19. Governing law and disputes
These terms are governed by the laws of India. The courts at Raipur, Chhattisgarh have jurisdiction over any dispute, without prejudice to any right you have to bring proceedings in the courts of your own place of residence where the law gives you that right.
Before starting formal proceedings, please raise the matter with us at Zenithyouthsummit@gmail.com. Most things are resolved faster by a conversation.
20. General
- Entire agreement. These terms and the Privacy Policy, together with the payment terms shown on a form at the time you use it, are the whole agreement between us.
- Severability. If a provision is unenforceable, the rest continues in force.
- No waiver. If we do not enforce a term on one occasion, we do not give up the right to enforce it later.
- Assignment. You may not transfer your place or your rights under these terms to anyone else without our written agreement.
- Changes.We may update these terms; the “last updated” date reflects the current version, and we will notify registered participants of material changes by email.
